Less than two years ago, hiring authorities were frustrated trying to stay on top of their voice mails. One of today’s greatest dilemas, is how to keep up with the constant flow of emails. Just deleting the “junk” and “inappropriate” emails can be a tremendous waste of time. It is not uncommon for a human resource professional to receive hundreds of email daily, especially if they have posted an opportunity on the Internet or in the classified ads.
For the reason, it is important that you learn how to effectively utilize VOICE mail. There are several rules:
1. Leave a “Short, concise message”
2. Identify yourself and explain the reason for the message
3. Always show the individual why it will BENEFIT THEM to return the call
4. Recite your telephone number clearly at least twice in your message
5. Show your personality – don’t sound like a recording
It is amazing how many people are returning their voice mails in today’s market, especially if you follow the guidelines above.
Sample voice mail:
“My name is Barbara Bruno. I can be reached at _________. I was referred to you by someone who thought it would be mutually beneficial for us to talk. Please call me back at your convenience. WHEN YOU CALL MY OFFICE, PLEASE TELL WHOEVER ANSWERS THE PHONE TO INTERUPT ME NO MATTER WHAT I’M DOING. I DON’T WANT TO MISS YOUR CALL OR HAVE YOU END UP IN MY VOICE MAIL. Look forward to our conversation. Again my number is ________________.
When recruiting, if you have an individuals extension, you can dial up one number or down one number and you are talking to other people in the same department with similar credentials to the initial individual you were trying to contact.
Often, voice mail systems will give you a list of the employees and their titles. It is so much easier to make a recruiting or marketing presentation when you have the name and title of your contact. Next time you get voice mail, leave an effective message and you’ll be amazed and the percentage of call backs you will receive!
